The performer will probably need to see the space before agreeing to play in it. Many players only feel comfortable in certain scenarios. It's also important to be prepared to handle the size or shape of the room, and also considering how many people there will be in attendance and what types of activities they will be doing.

It is extremely important to get the band together to practice ahead of time if you have an ensemble performance planned. Solo players function a lot differently than ensembles. Everyone has to match and blend together, and that takes plenty of rehearsal.

Price is an important consideration. The best players will charge higher rates. You have to decide how much you are willing to pay, and what level of quality you are expecting at the event. It is often the case that if it is a once in a lifetime type of thing, it is worth the extra cash.
